Purpose and scope
Octyraa is a business-to-business platform provided by the Company for authorized Tour Operators and travel agencies.
It may be used for visa-related services for the destinations listed below, and for other destinations and visa categories the Company adds from time to time.
The primary purposes of Octyraa are to let the Tour Operator log in with authorized credentials, submit client and application information, upload client documents, view updates or requests, pay for applicable visa processing, and receive communications from the Company.
The Tour Operator does not carry out the visa processing itself. The Company's back-office team reviews what is submitted and does that work. Octyraa is a submission, communication, tracking, and payment platform. It is not a place where the Tour Operator processes or decides a visa.
Tour Operator role
The Tour Operator collects the required information and documents from its clients and submits them through Octyraa. Each file must be complete, accurate, genuine, and belong to the correct client. Everything must be checked before it is uploaded.
The Tour Operator must promptly send any extra document, clarification, or information the back office asks for, pass relevant requests and updates to the client, and pay the applicable charges on time.
The Tour Operator must not tell a client that it can approve, guarantee, or decide a visa.
Back office
After a file is submitted, the Company's visa-processing team carries out the applicable work. Depending on the visa and destination, that team may:
The exact scope depends on the destination, visa category, and service purchased. The Company will make reasonable efforts to process the file from the information given. It does not control the final decision of any embassy, consulate, immigration authority, government authority, or visa centre.
No visa guarantee
Submitting a file through Octyraa does not guarantee a visa. The relevant government authority, embassy, consulate, or immigration authority decides whether to grant, refuse, or delay it.
Neither the Company nor the Tour Operator may tell a client that approval is guaranteed unless a competent authority explicitly says so in writing.
Processing times are estimates. They may shift with application volumes, security checks, requests for more documents, holidays, technical issues, or other factors outside the Company's control.
Client documents
The Tour Operator must upload clear, legible, complete, and genuine documents that belong to the person applying.
The Tour Operator must not knowingly upload:
The Company may reject, return, or ask for replacement files if documents are unclear, expired, inconsistent, incomplete, or unsuitable. The Tour Operator is responsible for obtaining what is needed from the client unless otherwise agreed in writing.
Information accuracy
The Tour Operator must verify all client details before sending them through Octyraa. This includes full name, date of birth, passport number and expiry date, nationality, contact details, address, work or business background, travel history, family details, financial records, travel dates, and any other required file points.
If inaccurate details are submitted by the Tour Operator or client, the Company is not responsible for resulting delays, extra costs, or refusals.
Client authorization and consent
The Tour Operator must obtain proper authorization and consent from each client before passing their details and files to the Company.
The Company may treat submissions as fully authorized by the client. The Tour Operator must handle any dispute arising from a failure to obtain that consent.
Account security
Login credentials provided by the Company are confidential and must not be shared with unauthorized persons.
The Tour Operator is responsible for everything done under its account and must notify the Company immediately if credentials are leaked, lost, or misused. The Company may suspend an account if it reasonably suspects compromise.
Access may not be rented, sold, transferred, or passed to another person or business without prior written consent.
Online payment
Octyraa may provide an online payment tool for visa fees, service charges, and other notified costs. The Tour Operator must match each payment to the right client or application.
Payment is treated as received once confirmed through the payment gateway or Company system. If a payment fails, reverses, or does not reach the Company, the Tour Operator may be required to pay again.
Transaction, bank, or gateway charges may apply. Unlawful, unauthorized, or fraudulent payment methods are strictly prohibited.
Fees and service charges
Applicable fees are shown in Octyraa or communicated through official channels. Depending on the service, charges may include:
Charges vary by country, visa type, nationality, service tier, and client requirements. The Company may revise service charges from time to time.
Refund and cancellation
Refund eligibility depends on the stage and nature of the service. Once processing starts, the Company service fee may become non-refundable subject to policy and applicable law.
Government, embassy, VAC, biometric, courier, and gateway charges are generally non-refundable where those third parties do not provide a refund.
A refusal, rejection, withdrawal, or delay does not automatically create a right to a refund. Approved refunds are handled under the Company refund policy after deducting work already done and non-refundable third-party costs.
Additional documents
During processing, the back office may find that further documents or clarifications are needed and will request them via Octyraa or registered channels.
The Tour Operator must make reasonable efforts to supply what is requested within the given timeframe. Delays in supplying documents may lead to application delays or consequences determined by authorities.
Communication and updates
The Company may communicate through Octyraa, registered email, telephone, SMS, WhatsApp, or other registered channels.
The Tour Operator is responsible for checking its account regularly and keeping contact details current. The Company is not responsible for missed messages caused by outdated or incorrect details.
Confidentiality and data protection
Octyraa handles personal details, passport copies, financial records, travel history, and related confidential documents. The Company uses this material for legitimate visa processing, operations, compliance, and record-keeping.
Where needed to deliver services, information may be shared with embassies, consulates, immigration departments, VACs, couriers, payment providers, and tech partners under applicable law.
The Tour Operator must maintain client confidentiality and never sell, misuse, or distribute client data obtained through Octyraa.
Prohibited use of the Octyraa

Suspension or termination
The Company may suspend or terminate Octyraa access if the Tour Operator breaches these Terms, submits fraudulent material, fails to pay, compromises security, or poses legal or reputational risks.
Upon termination, use of Octyraa must cease immediately. Existing payment obligations for work already undertaken remain in place.
